We need to talk about... Dynamics 365... Dataverse

Next in my blog series on the release wave updates for 2024 is a walkthrough of a feature which appears in the general Microsoft Dataverse set of updates. This particular feature is something which I thought deserved its own post as it addresses a common problem which has existed in Dynamics for a long long time. The feature in question is... Linking a single activity with multiple records!


Link Activities with multiple records in Dynamics 365


With this new feature users now have the ability to link Activity records to more than one parent record. At the time of release this is however limited to Accounts, Contacts, Leads, Opportunities, and of course the user record creating the new activity link.


To configure this requires just a small tweak to the existing activity table in your solution. So if we go to https://make.powerapps.com and browse to the application we want to update the functionality in.


Move down the table list until you arrive at the Email entity where you will find the Related column present with PartyList datatype as shown below,



Go to the Email entity main form and add the Related column on the main form as shown below,



Now, you can associate one Email record with multiple records at the same time, below is the screen clip for reference,



The Email record will also appear on the Timeline of all the selected records in the Related column.



Summary


This is a long over due feature that now enables users to link a single activity with multiple records simultaneously, eliminating the need to generate duplicate activities for every individual record.
