Next in my blog series on Dynamics 365 Project Operations is a walkthrough of the features and functionality of the Sales portion of the application.
As mentioned in the first post in this series, Dynamics 365 Project Operations is a business application that integrates multiple functionalities, allowing organisations to efficiently manage their projects from the qualification of sales lead through to delivery of services.
The initial component of this solution is therefore the Sales element, which provides standard tools for project-based sales processes. In today's post, I will walk through the sales functionalities of Dynamics 365 Project Operations and explore how they can enhance project management and sales processes.
Understand the Sales module in Dynamics 365 Project Operations
The Sales element in Dynamics 365 Project Operations is designed to manage the sales cycle for project-based businesses. It offers end-to-end management of sales processes, from lead generation through opportunity management into quote creation and contract management.
Lead Generation and Qualification
Lead Management: Dynamics 365 Project Operations allows you to capture and manage leads from multiple sources, including marketing campaigns, referrals, and direct inquiries. Lead Qualification: Use predefined criteria to qualify leads, ensuring that only the most promising opportunities are pursued.
The functionality available within the Sales module of Project Operations is basically an out-of-the-box install of Dynamics 365 Sales. There are a handful of "Project Operations" style fields added to standard lead form, but essentially the Lead record is as shown. Goes without saying all standard integrations with Teams, SharePoint and Outlook work as expected and all lead functionality also.
Opportunity Management
After our lead is qualified and converted into an opportunity we can now track those opportunities through the various stages of our sales process. The solution provides a visual pipeline to help sales teams manage and prioritize opportunities.
Sales teams can collaborate seamlessly with other departments, such as finance and delivery, ensuring that all aspects of a potential project are considered during the sales process.
At this point, we see a new "Project Information" form, designed specifically for the project sales process. The form requires fields such as Opportunity Type, Contracting Unit, and Price Lists to be selected. We also have a new "Project Service" business process flow which is entirely customisable to match the desired stages in the process.
Quote Management
From the opportunity, we can add value, through manual input or via the product entry screens. This allows us to easily create professional quotes with detailed project descriptions, pricing, and terms.
The solution also supports multiple quote formats and currencies and the use of flexible pricing models, including fixed-price, time and materials, and milestone-based billing. This flexibility ensures that quotes are tailored to the client’s needs and project scope.
We also now have access to a completely re-engineered Quote form. This form presents all kinds of project-specific information, pulling through the estimated revenue and associated dates from the Opportunity record.
Details such as Customer budget, Profitability, schedule and distribution of Cost are provided at this stage. Of course, additional detail can be added to the Quote record via the Project and Product Lines section, for example, we may want to add a 20% contingency or a full-time Project Manager cost.
Approval Workflows
Alongside both opportunity and quote management, it is possible to implement approval workflows to ensure that all opportunities and quotes are reviewed and approved by the necessary team members internally before being sent to clients.
This maintains compliance with internal policies and external regulations through controlled approval processes.
Contract Management
Once the quote has been marked as won/closed, the sales process continues now to the Contract stage. The Contract form below is a re imagined version of the "Order" form with additional customisations to capture contract-specific detail.
Standard contract templates to quickly generate contracts that include all necessary terms and conditions and we can even customise contracts to include specific terms that meet the unique requirements of each project and client.
Users can now manage the entire contract lifecycle, from initial creation and negotiation to amendments and renewals. Easily make and track amendments to contracts as project scope changes, ensuring that all changes are documented and approved.
Forecasting
Generate accurate revenue forecasts based on current opportunities and historical data, aiding in financial planning and resource allocation. Scenario Analysis: Conduct scenario analysis to understand the potential impact of different sales strategies and market conditions.
Integration with Dynamics 365 Modules
One of the significant advantages of Dynamics 365 Project Operations is its out-of-the-box integration with other Dynamics 365 modules, such as Finance, Customer Service, and Marketing. This integration ensures that all departments work from a unified data set, improving collaboration and reducing silos. Gain a comprehensive view of each customer, including past interactions, current projects, and future opportunities.
Enhanced Collaboration facilitate better collaboration between sales, finance, and delivery teams, ensuring that projects are scoped accurately and delivered on time.

From lead generation and opportunity management to quote creation and contract management, it provides a solution to drive sales and enhance project success.
